  1. Measure your calls. From your phone system, note weekly inbound calls, how many go unanswered, and when (after hours, weekends, while on jobs). Plug them into the missed-call calculator.
  2. Decide what the AI should do. Take messages only, book appointments, quote ranges, or transfer emergencies to an on-call tech.
  3. Shortlist 2-3 tools. Filter by your software (ServiceTitan, Jobber, Housecall Pro), budget, and billing unit. The quiz does this for you.
  4. Write your call script and knowledge base. Service area, services you do and don't offer, hours, emergency definition, pricing you're willing to share, and how to book. The free playbook has templates.
  5. Connect your calendar or FSM. Native integrations write jobs directly; webhook setups usually need Zapier-style plumbing or a developer.
  6. Set call forwarding. Start with after-hours or no-answer forwarding so you keep answering during the day.
  7. Test hard. Call it yourself with a routine booking, an emergency, a price shopper, a wrong number and a Spanish speaker if relevant.
  8. Go live and review weekly. Read transcripts, fix wrong answers in the knowledge base, and check bookings actually landed.
  9. Watch your bill. Compare usage to plan limits and overage rates after the first month.

FAQ

How long does it take to set up an AI receptionist?

Setup time varies by vendor and isn't consistently published. Self-serve tools let you start on your own (several offer free trials: OnCrew and Goodcall 14 days, bevado 7 days, XBert AI 14 days), while some contractor-focused vendors such as Sameday and Avoca are demo- and sales-led.

Do I need to change my phone number?

Usually not. Most setups forward calls (all calls, after-hours calls, or unanswered calls) from your existing number to the AI. Confirm the exact forwarding method with your vendor and your phone carrier.

Will it book jobs into ServiceTitan, Jobber or Housecall Pro?

Only some tools do, and integration depth varies. See our integration guide: for example, OnCrew connects to Jobber and ServiceTitan via webhooks and to Housecall Pro on the HCP MAX plan, according to our sources.
